What will you be doing?

You possess great organizational skills. You are also eager about servicing customers and trainees. You thrive when things are organized. You create a structure in chaos, can connect the dots quickly, and don’t shy away from hard work. You have affinity with digital tooling. You like to engage (virtually) with customers and trainers.

What are we looking for...

We are looking for someone who takes ownership of the coordination of all the processes around our training courses. The number of training courses we provide is increasing continuously, which means we need additional operational and logistical support to strengthen our existing team.

What else? Having the right mindset is important to us. We are looking for someone who will proactively check in with our customers to see whether everything is set up properly and validate the training course was conducted according to expectations. You basically ensure a smooth operational, coordinated flow of training courses.

Besides that, you are a team player who can get things started and thrives in an entrepreneurial environment. You will be guided and coached, but you’ll also be expected to be a proactive person reaching out when you see things that can be adjusted or improved. And in our team, you get all the responsibility and trust to seek your own path. 

Concretely, this means you'll be...

  • Responsible for all the daily operational tasks to ensure a smooth training experience for all participants.
  • In contact with trainees, trainers, customers, locations, and suppliers.
  • Proactively looking ahead to planned training courses, ensure they can take place.
  • Accountable for all trainee administration (confirmations, reminders, materials, attendance and invoicing) and logistic support (providing handouts and training materials, adding participants as students to the exams).
  • On location for some of our physical training courses (mainly Hilversum and Amsterdam). This also means ensuring the reception, support, and overall care for our training courses. You are Xebia Academy’s calling card and first contact for our trainees and trainer.
  • Taking care of the certification process with our various certification partners.
  • Managing the users on the training agenda platform and the Academy team groups on Confluence, Outlook, etc.
  • Booking travel and lodging for participants, when needed.
  • Assisting in setting up In-company Academies at customers (project management), helping with the Academy community, and following up with customers after the training.
  • Working with Sales to propose and confirm new training courses and working with Finance to ensure training courses are paid for accordingly.
  • First in line for Xebia Academy’s e-mail, phone, and virtual chat.

We organize amazing events; like skiing together or going to Ibiza, dinner and/or theme-parties, sportweeks, our own MUD or TED events… or organize your own event! The sky is the limit.

Training Budget

A real training budget of €5,000, without a fight. In fact, it’s your obligation to spend it every year.

Your Devices and Books

Choose the laptop and phone you want! And on top of that, you can choose new devices every 2 year. You will also have the advantage of an unlimited budget for ordering the books you need to grow as professional.

Conferences and Speaking

Attending and speaking at relevant worldwide conferences doesn’t come out of your vacation time.

Knowledge Sharing

Our Open Kitchen bi-weekly knowledge exchanges, Innovation Days, frequent tech-rallies, and TED-style conferences, all contribute to exploring and achieving your potential, individually and collectively as Xebians.

In addition to internal knowledge sharing, Xebia is also an active player in multiple communities and regularly host, speak, attend, and organize Meetups and conferences. Who are you?

You are...

  • Able to connect dots quickly and process high loads of information.
  • In possession of a Bachelor’s or Master’s degree or can show us you possess equally-leveled competency skills.
  • Customer-friendly – working with customers (and people in general) is something that makes you happy.
  • A proactive person. You don’t wait until being told what to do, but just get things started.
  • A structured, well-organized person. You keep your To-Do list tidy and provide a sense of rest and overview.
  • Comfortable with digital tooling. Things like office-suite, CRM systems, and customer service tooling don’t scare you.
  • A strong communicator, both in English and Dutch.
  • Experience as a training coordinator is a plus – as well as experience in any of the following roles or positions: event planner, office management, planner,  administration, or hospitality.
